Frequently Asked Questions | Ibiza Summer Villas

Do I have to arrive on a certain day? 

The majority of our villas all operate on a flexible basis. This allows our customers to be fully flexible when choosing flights ensuring that they can get the best deal possible. 

Can I stay for less than a week? 

We accept bookings with a minimum stay of 2 nights. Please contact us for specific prices for your villa stay; be it 2 days, a short stay, a week, or a fortnight. 

Can I have a discount if I don’t use the villa to full capacity? 

Unfortunately not, all our villa rental prices remain the same regardless of whether you use the villa to full capacity or not. 

Can I add extra beds? 

In some villas, we can add additional beds. A surcharge depending on the villa and the length of the stay is applied on top of the total villa cost. 

When can I check into my villa and when do I have to check out? 

For most of our villas, check-in time is between 3 pm and 5 pm. Check-out time is 10 am. We do need to be quite strict on these times, particularly during peak season. 

We can occasionally be flexible on these times during the low season; however, this is not guaranteed and can only be confirmed in the days leading up to your arrival. 

These times may vary in some villas and you will be advised at the time of booking and reiterated when your check-in details are emailed to you the week before arrival. 

Can I book a transfer from or to the airport? 

Yes, we can arrange private transfers to and/or from the airport for you and your group, as well as for other transport needs during your stay. These services need to be booked at least 24 hours in advance and prices will depend on the number of people and the pick up and drop off destinations. Do I need to hire a car? 

This will depend on your villa location and the type of holiday you wish to have. Some of our villas are located within easy walking distance to the nearest public transport links and local facilities or attractions and are convenient for groups wanting to avoid car hire. And while Ibiza does have a good taxi service, we do recommend car hire for villas located in more remote or rural areas. 

Details on whether car hire is essential, recommended, or not essential are advertised on each villa page. It’s also a good idea to discuss your location needs with us before booking your villa. 

This being said, we always encourage guests to hire a car for at least a day or two of their holiday, regardless of their villa location. This is because there are so many wonderful places to discover in Ibiza that you may otherwise miss without your own set of wheels. Can I bring my pet? 

We do have some pet-friendly villas however this does need to be arranged with our office prior to booking. This may also mean an increase in the deposit amount required. If you wish to bring your pet with you on holiday, please discuss this with us before booking. 

Are your villas equipped for disabled guests? 

We do have several villas that are more suitable for disabled guests, some of which also include special provisions such as wet rooms, wider doorways, and ramps. Please discuss these needs with us before booking so we can advise the most suitable properties. 

What is the non-refundable insurance? 

Most bookings with us will incur a non-refundable insurance charge, sometimes referred to as an Accidental Damage Waiver (ADW). The non-refundable insurance is used to cover accidental damage that may occur at the villa. The charge varies depending on the size or category of the villa with a maximum charge of €350. This waiver has maximum limits for damage caused to any part of the property or its facilities but excludes negligence and vandalism. 

The non-refundable insurance is applicable for selected villas only. 

You are responsible for all loss or damage whether caused by you or your guests. We may charge you extra if the property requires excessive cleaning or rubbish removal. 

In cases where the fully refundable Security Deposit (SD) is applicable, this will be charged at €4,000. We would ask that this is paid via card transaction or cash euros upon arrival. 

So the non-refundable insurance replaces the Security Deposit? 

The non-refundable insurance will not cover clients for wilful, deliberate, or malicious damages to the villa or its contents. Nor for damages or breakages that are not reported during the clients’ occupancy of the villa. It does not cover damage to the pool, or to the cost of draining and refilling the pool due to broken glass or other items being found in the pool. 

The non-refundable insurance does not cover fines from the police or other island authorities incurred for any type of anti-social behaviour, illegal activity, or complaints arising from noise or disturbance. 

The non-refundable insurance does not cover extra cleaning or rubbish removal costs if the villa is deliberately left in an excessively dirty state. 

All areas that will be charged for will be documented by photo and these will be sent to you by email. 

It is in your best interests to ensure that the inventory is accurate when you arrive at the villa so that any loss or damage is not wrongly attributed. We ask you to inform us of any discrepancies or malfunctions within 24 hours of arrival, after which time you will automatically be deemed to be responsible. 

If you paid a Security Deposit instead of the non-refundable insurance; upon your departure, should everything in the villa be satisfactory, you will receive your Security Deposit in full. Please note that all the party must vacate the property once we hand the security deposit back to you. 

Maintaining the villas: 

We do our best to inspect each property before your check-in to ensure we are aware of and can fix any damage. We do however ask that if you notice any damage please inform us within the first 24 hours of your stay, otherwise we will have no option but to assume the damage has been caused during your stay. 

We understand accidents do happen, therefore do not charge for the odd broken glass or plate. We also do not expect the villa to be left as clean as when you checked in; however, we do require all rubbish to be removed, dishes washed and the villa to be left neat and tidy. 

We arrive very late at night and/or leave very early in the morning. Is this ok? 

Where possible, we can arrange for your villa to be ready earlier than 3 pm on your day of arrival. It may also be possible to allow you to stay in your villa later
than 10 am on your day of departure. This service incurs an additional cost and is based on the capacity of the villa. If you only need to bring forward or extend your stay by only a couple of hours, the charge will be reduced. 

For late check-in arrivals, there is a charge of €80 after 21:00. 

This service is subject to availability and due to the possibility of late bookings on either side of your occupancy, we can normally only confirm an early check-in or late check-out a few days prior to your arrival or departure. For this reason, the charges for this service are to be paid in cash on arrival for early check-ins or during your occupancy for late check-outs. 

How many keys do I get for the villa? 

As standard, you will receive two sets of keys per villa. Larger villas will be supplied with three. 

Do you provide bed linen? 

Yes. All beds will be made up and ready upon arrival. Linen for any sofa beds will need to be pre-arranged. 

Do you provide towels? 

Yes. Each villa will have one large bath towel and one hand towel per guest, as well as additional hand towels in each bathroom. Most villas have pool towels provided, however not all. 

What else is provided in the villa? 

We will stock the villa with basic washing-up supplies and toiletries to get you started on your holiday, including washing up liquid, kitchen paper, bin bags, toilet paper, and hand soap. Some owners provide kitchen staples such as olive oil, salt, and pepper however this is not guaranteed. 

Does my villa include cleaning? 

Stays of two weeks or more will include a full villa clean and linen/towel change once a week, usually on Saturday. 

Can I book extra cleaning? 

Yes, and there is a charge for this. Please let us know if you require additional cleaning throughout your stay and we will advise prices and availability. Extra cleaning services can only be booked for a minimum of 3 hours, this can be booked through our concierge team on concierge@ibiza-summer.com

Are there sun loungers around the pool? 

Yes, all villas should have at least one sun-lounger per guest. 

Can I hire decks and play music at the villa? 

No, all our villas have a strict sound-level policy. This means we cannot permit any guests to bring DJ or sound equipment onto the premises. There is also a law in Ibiza that states between the hours of midnight and 8am, you are unable to play loud music or make any unreasonable noise. Excessive noise complaints may lead to a police fine and a possible eviction from the villa. 

During the day, we ask you to use your common sense and courtesy as to appropriate levels of noise during the day and early evening, particularly if your villa is in a residential area. 

Can I invite other people to the villa during my stay? 

You are welcome to invite people to your villa during your stay; however, we prohibit any additional guests staying overnight that exceed the villa's advertised capacity. We also do not allow groups larger than 25 to be at the villa. 

As a security measure, we also advise guests to never invite people they don’t know back to the villa. Private parties are strictly prohibited. 

What can you provide for infants and children? 

We can provide travel cots (+€60) and highchairs (+€30), as well as stair gates should you need them. Please note however there is a limited supply of these, so to ensure availability please request them at the time of booking. 

We are also able to arrange babysitting should you wish to enjoy some time without the kids during your holiday. 

What other services can you provide?

Our Concierge Manager has a wealth of local knowledge and contacts and can often secure a cheaper price than the advertised price for many activities.

Some of the additional services we can help arrange include, but are not limited to, boat hire, private catering, massages and beauty treatments, babysitting and restaurant reservations. We are able to accommodate most requests, so don't hesitate to ask!

Please note: Unfortunately, at this time, we are unable to help arrange disco tickets. However, we can point you in the direction of reputable vendors.

Both these phone numbers go directly to our office in Ibiza, however, people calling from the UK can call the UK number to pay local rates. Our office is open Monday–Friday, 9.30–18.00 all year round. 

Upon check-in, you will be provided with additional contact numbers for any emergencies during your stay when the office is closed. 

Is Ibiza safe? 

As with any busy holiday destination, petty crime does increase during peak season however we still very much consider Ibiza a safe place to holiday. 

Is the villa secure? 

We do our best to ensure all our properties are safe and secure. We do however ask for cooperation from our guests to ensure the villas are kept safe and secure. This includes measures such as never taking a pirate taxi, not sharing your social plans with people you don’t know, and always securing the villa before going out. 

All our villas have safety deposit boxes and many have alarm systems and you will be shown how to use these on check-in. 

BEFORE ARRIVING IN IBIZA 

One week prior to arrival, you will be sent your final arrangements which include confirmation of check-in time, address and directions to your villa or the arranged meeting point, instructions for how and when to contact us, and a reminder of the necessary paperwork and payments you need to bring. We can only send these to you once we have received your flight information. 

It is always a good idea to have any additional activities or services such as car hire, private catering, boat bookings, private transfers, restaurant reservations, and so on organized prior to arrival. All these facilities can be booked through our concierge team on concierge@ibiza-summer.com. We also offer a pre-arrival food and drink shopping service should you wish to stock the fridge before arrival.

Our in-house concierge has a wealth of local knowledge and contacts and is often able to secure a cheaper price than the advertised price for many activities. 

Pre-Arrival Shopping 

We want you to enjoy the swimming, sunshine, and your villa for the maximum amount of time possible. Therefore we are offering an exclusive welcome hamper service that can be laid out in your villa welcoming your group on arrival. We offer various different hampers that cover all the basic essentials for the first few days. You can, of course, add additional items from our list and should you require anything else just drop us an email and we can arrange that no problem.

Private Catering 

It’s great sampling some of the local restaurants whilst you are here in Ibiza and we can certainly point you in the direction of some of the best places to visit. However, there are times when you may just want to take advantage of a private chef who can rustle up a feast in your villa and we can arrange this for you with no problem. This service is always popular with our clients so we would strongly recommend pre-booking this in advance. We can offer you a variety of chefs and cuisines depending on what you are after. 

Additional Cleaning & Linen Services 

Your villa is cleaned and prepared for your arrival. We don’t have a daily cleaning and linen service in place however should you wish to take advantage of any additional cleaning or linen changes then this can be booked for you during your stay. For cleaning, we would always suggest a minimum booking period of 2 hours for a cleaner. 


Arrival Day 

Once you have met our rep at the villa, they will then take you through the villa to familiarize you with how everything works. They will also go over your welcome pack, the receipts for the remaining rental payment and answer any questions you may have. We do our best to inspect each property before check-in; however, if you find we have missed something broken or not working, please inform us within 24 hours. This way, we can have it rectified as soon as possible and your security deposit is not compromised. 


Departure

Check out time is 10.00 unless otherwise arranged. Late checkouts are occasionally possible in low season however need to be arranged with the office on the day of arrival and are not guaranteed. In peak season a late check out is not possible. 

To prepare for departure, we ask that you remove all rubbish from the villa, wash all dishes and complete a basic tidy of the villa. We do not expect the villa to be in the same condition as when you arrived however we do ask that it be left neat and tidy. 

On the day of departure either a representative from Ibiza Summer Villas or the villa owner will arrive 15 minutes prior to the agreed check out time to complete an inspection of the property. It is worth noting that if you have paid the security deposit by PayPal, this will be released within 48 hours of departure.
